The DOUAI Hospital Complex Pharmacy

10 October 2018

Issue:

  • Saving space, optimizing and securing the medication circuit

"Securing the medication circuit has to be taken into account in an overall way, from receiving the product to administering it to the patient. That is to say we have to keep in mind both aspects: clinical and logistical."

ELECTROCLASS solution

  • 6 GIROPHARMA carousel storers, including one refrigerated, for small-volume pharmaceutical products, all managed by the G-STOCK Pharma software which handles stock and storage spaces in the central pharmacy.

Interfacing:

  • G-STOCK Pharma is interfaced with MAGH2 and CRISTAL NET

Results:

  • Space-saving, time-saving for staff, stock fine-tuning and medication circuit secured.

On the logistics side, the pharmacy relies to some extent on ELECTROCLASS Giropharma range of products.  "We've been using this equipment for a dozen years now", states Pascale GUILLAIN, "it's part of a medication circuit securing project on the logistics side. The equipment includes 6 carousel storers for storing small-volume pharmaceutical products. Five of these are standard storers and one is refrigerated. These storers are connected by a computerized system to the Double Bin replenishment system with a barcode label reader set up in treatment units and managed by the ELECTROCLASS G-STOCK Pharma which also manages storage spaces in the central pharmacy"

In 2008, when the DOUAI Hospital Complex moved to new premises, it generalized and developed its use of the G-STOCK Pharma software to all pharmaceutical products. This software manages and organizes everything.

"G-STOCK Pharma is interfaced, first of all, with our economic and financial management software called MAGH2 and, secondly, with our nominative dispensing software called CRISTAL NET. When a product arrives on the premises, it is checked qualitatively and quantitatively then received electronically on MAGH2 by our store staff. Inputs are automatically transferred from MAGH 2 to G-STOCK Pharma as they come in. Then G-STOCK Pharma proposes storage spaces to the store staff. Products are organized based on a computerized ordering system which is in line with the geographical order, so that we save time when organizing and when picking. We manage some 7,700 product references in the DOUAI pharmacy and half is physical stock and, as such, is managed by G-STOCK Pharma".

On the other side of the chain, in treatment units, pharmacy reserve stock is managed using the Double Bin replenishment system along with barcode reader.  "The G-STOCK Pharma software is a really effective system which we can use to manage storage spaces based on volumes, which means we save space. It is linked to a Double Bin replenishment system which enables us to digitize all treatment unit orders, so we don't use paper anymore. Stock management is much more rigorous and effective. There are many obvious advantages. First of all, it's computerized so secure, everything is tracked, we don't use paper anymore. Secondly, it ensures our stock is appropriate and, as such, saves staff time. It's pretty streamlined, screens are user-friendly. I must say that it's highly-effective equipment."

Highly-computerized, with state-of-the-art IT and mechanical tools, the DOUAI Hospital Complex pharmacy is now one step ahead of its counterparts. It has the right to focus on being "obsessed with doing one's best", the establishment's particularity where each service/department played a role in optimizing the medication circuit: "The pharmacist on their own can't do anything!"
